Your Responsibilities:
- Calendar Management: You quickly familiarize yourself with our routines and preferences and confidently align our professional and private calendars. You prioritize incoming requests and schedule appointments accordingly.
- Vendor Coordination: With a reliable and respectful manner, you manage caretakers, craftsmen, cleaning staff and other service providers across our residence and holiday properties – both planned and ad hoc. You engage confidently with trades on equal terms – internationally and in Switzerland.
- Office Organization: With a keen sense of structure and context, you manage incoming correspondence, review invoices and documents, derive next steps and maintain an organized filing system – digital and paper-based.
- Network Communication: You prepare documentation, share information and handle inquiries, while communicating on our behalf and representing us in interactions with employees, business partners and external service providers – becoming a trusted and central point of contact through your professional and approachable manner.
- Travel Planning: You organize and coordinate business and private travel – from booking through expense handling – keeping track of schedules, logistics and details.
- Family Organization: You support our family life when needed – handling errands, school runs, activity logistics – ensuring daily routines run smoothly.
Your Profile:
- You are highly organized, attentive to detail, and bring experience working in an assistant role – for example as a Team Assistant, Office Manager, Management Assistant, or Personal Assistant (PA). Whether gained in a company, hotel, practice, law firm or private household – what matters to us is your motivation to support others and take proactive responsibility behind the scenes.
- You are experienced in acting on behalf of executives, clients, or entrepreneurial families and engage confidently with business partners, employees and service providers – professional, warm and on equal terms. You also bring experience in managing trades, ideally in Switzerland.
- If you feel at home in an international environment and English comes naturally to you, you will feel equally comfortable in our English-speaking family setting.
- You are confident with standard office tools and curious about IT & AI – continuously improving workflows while maintaining a careful focus on data security and discretion. We support you in developing further here.
- You enjoy planning and organizing tasks – while adapting plans flexibly when needed. With your diplomatic nature, you follow up, clarify open points and enjoy ticking tasks off your list.
- Organization is your day-to-day – growth is your drive. You enjoy exploring new topics, continuously learning and engaging confidently with a variety of people and disciplines. You know your strengths, where you want to grow and when to seek support.
- You intuitively understand processes, preferences and patterns and align schedules and tasks accordingly. You anticipate needs, act independently and proactively – discretion comes naturally to you.
- You are excited to understand and refine our structures and workflows – bringing your ideas, digital curiosity and solution-oriented mindset to their development while shaping your own area of responsibility alongside us.
